Operations AR - View & Download Credit Card Surcharges & Convenience Fees

  1. Navigate to "AR/AP" section

    You can view and download credit card surcharges and convenience fees in the operations portal. To do this, navigate to "AR/AP" section.

  2. Select "Accounts Receivable"

    Then, select “Accounts Receivable”. In order to access "Accounts Receivable" you will need to be set up either as an "administrator" or a "superuser", or “accountant” or have the following roles: "paymentEdit and paymentView”.

  3. Click the "Show/Hide Columns" icon

    Click the "Show/Hide Columns" icon.

  4. Select all the needed columns

    Make sure the Txn Type, Amount, Batch Date, CC Type, Company Name, Created, Payment ID, and Status options are checked.

  5. Click on the "Txn Type" filter dropdown

    Click on the "Txn Type" filter dropdown.

  6. Select "Convenience Fee"

    Select "Convenience Fee" so that only Surcharges and Convenience Fees are displayed in the grid.

  7. Sort the "Created Date" column

    Sort the data by "Created Date", so that more recent transactions are shown at the top of your view.

  8. Click on the "Filters" menu

    Click on the "Filters" menu.

  9. Click "Save as"

    Then, select "Save as" to add a new filter.

  10. Type in your filter name

    Type in your filter name.

  11. Click "Add"

    Click "Add" to add the filter view. This creates your saved filter for viewing Credit Card Surcharges & Convenience Fees.

  12. Click on the "Download" button

    Click on the "Download" button to export the data in the grid to a CSV file.

  13. Click "Save"

    Type in your filename and click "Save".

  14. Open the CSV file in a spreadsheet application

    Open the CSV file in a spreadsheet and Sum the monthly Convenience Fees shown in the Amount column. The total should be accounted for as a cash deposit and fees received. Depending on the card processor’s payment settlement timing, some of the Convenience Fees initiated during the month may not have been settled to the bank by month end.
