Operations Customers - Import Customer Roles

  1. Navigate to "Customers"

    To mass update customer roles by importing, navigate to the "Customers" section in the operations portal. Importing can be helpful if you would like to quickly update roles of numerous customer records.

  2. Click "Customers"

    Then, click "Customers''. In order to access "Customers" you will need to be set up either as an "administrator" or a "superuser", or have the appropriate roles: "customerEdit" and "customerView".

  3. Click "Data"

    Now, click "Data" tab.

  4. Click "Show/Hide Columns" Icon

    Click "Show/Hide Columns" Icon.

  5. Select needed columns

    The required columns for updating customer roles by import are "userName" and "roles". The "roles" column is not part of the grid options, but can be updated with the import. The "roles" column will need to be added to the spreadsheet before importing. You can also choose to update other data with this import by selecting additional columns.

  6. Click "File"

    Click "File".

  7. Select "Export"

    Select the "Export" option. This export will have the header row and data that will be used for importing back into the system when using the "Data" screen.

  8. Click "Save"

    You can choose to name your export by clicking into the field and typing to update the name.

  9. Click "Save"

    Now, click "Save". The data will be saved to your computer as a CSV file which is spreadsheet compatible.

  10. Example Spreadsheet - with other columns

    You can see in this sample export the header row that can be used for importing data, and also the data from the grid. The "roles" column has been added to the spreadsheet, and has the correct header name for importing.

  11. "userName" = Customer User Name

    If you would like to only update customer roles, you can remove all columns from the spreadsheet and keep only the needed "userName" and "roles" columns. The user name is required as it is the identifying factor for matching information.

  12. "roles" = Roles or Permissions assigned

    The "roles" column contains the role code for customers. If more than one role needs to be added to a customer, they will need to be comma separated with no spaces in the cell. In this example, we are updating this customer to have the roles of "accountsPayable" and "companyAdmin". Update your spreadsheet by adding or removing customer roles. Note: If you import a blank cell, the data imported into the system will be blank for that field on that customer.

  13. Customer role codes

    If you need to know which codes to use when assigning roles, navigate to the "Customer Roles" screen in the operations portal. The list of available roles are found here with descriptions. In order to access this screen, you will need the roles of "administrator" or "superuser", or have the role of "customerRoleView". Copy the code and paste to the roles cell in the your spreadsheet.

  14. Click "File"

    Once you have updated your spreadsheet and saved it as a CSV file, go back to the "Customers" data grid and click "File" again.

  15. Click "Import"

    Now, click "Import".

  16. Select from import options

    Choose your preferred import option. "Create & Update" will create any new usernames included in the spreadsheet and also update existing usernames with the data in your spreadsheet. "Update Only" will only update existing usernames with the data in your import. "Create Only" will only create new usernames with the data in your spreadsheet. Since we only want to update data at this time, we want to select the "Update Only" option.

  17. Your import file has been queued

    Once you click "Update Only", you will be prompted to choose and upload a file from your computer. Choose the .CSV file you would like to import. Please be sure that you select the correct file. An import message will appear letting you know that the import file is in process and to check back in a few minutes for the imported data. After the import has completed, you can verify the updates by checking customer roles in the operations portal.

  18. Email Report

    Once the import has completed, you should receive an email report.
